Forms
All FIN forms relating the
to the Purchasing Card Program can be obtained from the Financial
Forms portal on the Office of the Comptroller General intranet site.
Reports
The Bank of Montreal's BMO details Online system has a vast library of reports available to cardholders
and card coordinators. There are over 75 standard reports and over 1,000 custom
reports available. There is also an ad hoc reporting feature that will provide
access to all information stored in the BMO data warehouse.
Access to information is
controlled by the user roles that a user has been granted in BMO details Online. Cardholders will only have access to their own transactions, and purchasing
card coordinators will have access to their ministry only. A "Reporting"
role allows selected ministry staff access to assigned hierarchy levels within
their ministries. The "Auditor" and the "Government Card Coordinator"
roles provide reporting capabilities of the entire province.
Reports are accessed from BMO details Online in
the Reports module. Users will require a username and password, which is available
from the purchasing card coordinator.
The following standard reports
are available in BMO details Online:
- Account Detail Report;
- Detail Billing Report;
- Merchant Category
Code Watch List; and
- Account Statement
Report.
The information contained
in the Detailed Billing Report is a convenient method of determining:
- which cardholder statements
are not being paid on time;
- frequency of card usage;
- whether accounts are
close to their monthly credit limits; and
- whether cardholders have
attempted to make any purchases that were refused or resulted in disputed
charges on their statements.
The Merchant Category
Code Watch List contains lists of transactions that are within pre-selected
Merchant Category Codes. Merchant Category Codes are selected on the basis that
their use could indicate personal or other misuse.
The Account Statement
Report provides as summary of cardholder transactions for a selected period
of time.
